Privacy Policy

1. Introduction

Motorak — a vehicle maintenance and expense management app — is operated by AI BRAINS FOR SCIENCE AND TECHNOLOGY CONSULTANCY CO. L.L.C, a company registered in the United Arab Emirates ("we", "us", the "Company"). We are committed to protecting your personal data in accordance with UAE Federal Decree-Law No. (45) of 2021 on the Protection of Personal Data (PDPL), and the requirements of Google Play and the Apple App Store. This policy explains what data we collect, why we collect it, how we use it, and the rights you have over it.

2. Data We Collect

We only collect data you provide directly while using the app:

• Account data: email address (required), full name and phone number (optional), and your password (stored as a secure hash — never readable by anyone). If you choose to sign in with Google, we receive your name and email address from your Google account.
• Vehicle data: make, model, year, body type, color, license plate details (emirate, code, number), and odometer readings.
• Records you enter: maintenance logs, expenses, and document metadata (document type and expiry date — e.g., insurance or registration). We do not collect copies of the documents themselves (except the VIN photo when you use the automatic-reading feature, as described in Section 4).
• Settings and preferences: reminder, language, and unit settings.

What we do NOT collect: we do not track your location, show ads, use third-party analytics or tracking tools, or access your contacts or photo library without your action (we only use photos you choose to capture or attach — see Section 4).

3. How We Use Your Data

• Providing the app's core services: maintenance scheduling, reminders, expense tracking, and document-expiry alerts.
• Account creation, email verification, and secure sign-in.
• Improving the maintenance plan for your vehicle (see Section 4).
• Contacting you about the service when necessary.

Legal basis for processing: performance of a contract (providing the service you requested) and your explicit consent given when creating an account, which you may withdraw at any time without affecting the lawfulness of processing carried out before withdrawal.

4. Artificial Intelligence

The app uses AI technology (provided by our processor, OpenAI) to suggest maintenance items and schedules suited to your vehicle. For suggestions, the data sent is limited to technical vehicle data (make, model, year, odometer reading) and does not include your identity or contact details.

Images: when you use the AI assistant and attach a photo, or photograph your VIN to have it read automatically, the image you capture is sent to our AI provider (OpenAI) to analyze or read it. Images are processed transiently to fulfil your request and are not used to train models. We recommend not including unnecessary personal data in these photos.

5. Data Sharing

We do not sell your personal data or share it with anyone for marketing purposes. Sharing is limited to:

• Infrastructure providers: hosting and database providers that run the service, under agreements requiring them to protect your data to the same standard as this policy.
• AI processing provider (OpenAI): technical vehicle data, plus any images you choose to send via the AI assistant or VIN scan, as described in Section 4.
• Authorities: where required by UAE law or a court order.

6. International Data Transfers

Your data may be stored on secure servers located outside the United Arab Emirates. Where this occurs, we take the contractual and technical measures necessary to keep your data protected to a standard no lower than the UAE PDPL requires, and by using the app you consent to such transfer.

7. Data Retention and Deletion

• We retain your data only while your account is active.
• You can permanently delete your account from within the app (Settings → Delete Account). This permanently deletes your account and all associated data (vehicles, maintenance logs, expenses, documents) within a maximum of 30 days.
• You may also request deletion by contacting us at the email in Section 12.

8. Your Rights

Under the UAE PDPL, you have the right to:

• Request access to, and a copy of, your personal data.
• Correct inaccurate data or complete incomplete data.
• Delete your data (the "right to be forgotten").
• Restrict or object to processing.
• Data portability.
• Withdraw your consent at any time, free of charge and without penalty.
• Lodge a complaint with the UAE Data Office if you believe our processing violates the law.

To exercise any of these rights, contact us at the email in Section 12 and we will respond within a reasonable period.

9. Data Security

We apply appropriate technical and organizational measures to protect your data, including: full encryption in transit (HTTPS/TLS), passwords stored with secure hashing algorithms (never in plain text), restricted access controls, and secure token-based authentication.

10. Children

The app is intended for vehicle owners and drivers and is not directed at anyone under 18 years of age. We do not knowingly collect data from children.

11. Changes to This Policy

We may update this policy from time to time. The updated version will be published on this page with a revised "Last updated" date, and we will notify you in the app of any material changes.
